Privacy Policy

1. Who we are

Olistic Studios, a fitness studio based in Mumbai, India, operates this website (which can also be installed as a progressive web app on phones and tablets). Where this policy refers to “we”, “us”, or “our”, it means Olistic Studios. You can reach our privacy contact at olisticstudios@gmail.com.

2. Information we collect

We collect three categories of data:

2.1 Information you give us

• Identification: name, email, phone, date of birth, gender — captured at signup or in your profile.
• Contact & address: for invoices, shop delivery, or studio paperwork.
• Health & fitness data (if you choose to share it): pre-existing conditions, injuries, pregnancy stage, fitness goals, body-composition measurements. This helps your instructors plan safe sessions.
• Payment details: card / UPI / bank info is handled directly by Razorpay; we never see or store full card numbers. We do store the last 4 digits, payment method, and the Razorpay reference ID for reconciliation.
• Communications: messages you send us via WhatsApp, email, or the in-app contact form.

2.2 Information collected automatically

• Device & browser: IP address, browser type, OS, device model, screen size.
• Usage: pages visited, features used, timestamps, session durations.
• Cookies & similar: cookies and local-storage values for keeping you signed in, remembering your theme preference, and PWA installation state.

2.3 Information from third parties

• Google sign-in: name, email, profile picture (only if you choose to sign in with Google).
• WhatsApp Business API: your WhatsApp display name and the messages you send to our business number, used to confirm bookings and respond to queries.
• Razorpay: payment status, refund status, and a masked summary of the payment instrument used.

3. How we use your information

• Provide the service you signed up for (bookings, classes, shop).
• Confirm bookings, send reminders, deliver passes and QR codes.
• Personalise programmes — your instructor needs to know about injuries or pregnancy stage to keep you safe.
• Process payments, refunds, and invoices via Razorpay.
• Send service messages over WhatsApp/email — booking confirmations, attendance reminders, schedule changes.
• Send marketing messages only when you have opted in. You can opt out at any time from your profile or by replying STOP on WhatsApp.
• Improve the website and app by analysing usage patterns in aggregate.
• Meet legal, tax, and statutory obligations in India (GST, audits, regulatory requests).
• Detect and prevent fraud, abuse, and security incidents.

4. Who we share information with

We do not sell your personal information. We share it only with the following categories of recipients, and only the minimum data required for them to do their job:

• Payment gateway: Razorpay, for processing payments and refunds.
• Cloud infrastructure: Google (Firebase, Cloud Firestore, Cloud Storage) and Hetzner (server hosting in Germany).
• Communication tools: WhatsApp Business API (Meta), email service providers for transactional email.
• Analytics: aggregated, anonymised analytics tools to understand how the site is used.
• Tax / audit / legal: chartered accountants or regulators when required by law.
• Acquirer or successor: if Olistic Studios is acquired, restructured, or merged, your information may transfer to the successor entity under the same protections.

5. How long we keep your data

• Account & profile data: as long as your account is active, plus 12 months after closure.
• Booking & payment records: 8 years from the transaction date, as required by Indian tax law.
• Health & fitness data: until you delete it from your profile, or 24 months of inactivity, whichever is sooner.
• Marketing-consent records: until you opt out, plus 12 months for audit.
• Server logs: 30 days, except for security-incident traces which we keep for 1 year.

6. Security

We take reasonable, industry-standard measures to protect your data: HTTPS everywhere, encrypted database storage, role-based access controls, principle-of-least-privilege admin access, audit logs for sensitive operations, and regular security review of our codebase. No system is perfectly secure though — if we ever become aware of a breach affecting your data, we will notify you within 72 hours per applicable Indian and international standards.

7. Your choices & rights

• Access & export: you can view your data via the dashboard, and request a full export by emailing olisticstudios@gmail.com.
• Correction: edit your profile from the dashboard, or write to us to fix anything that isn't editable in-app.
• Deletion: request account deletion from your profile, or by email. We honour deletion requests within 30 days subject to records we must legally retain (e.g. invoices for tax law).
• Marketing opt-out: every marketing message includes an opt-out link. WhatsApp marketing accepts STOP as a reply. Service messages (booking confirmations, refund alerts) cannot be opted out of while your account is active.
• Withdraw consent: where processing relies on your consent, you can withdraw that consent any time — without affecting processing already done.

8. Cookies

We use cookies and similar technologies to keep you signed in, remember your preferences, and understand how the site is used. You can block or delete cookies through your browser settings; doing so may break sign-in or theme preferences but does not block access.

9. Children

Our services are designed for users aged 18 and above. Minors may attend classes only when booked by a parent or guardian, and only the parent/guardian's contact details are collected.

10. Changes to this policy

We will update this policy as our services or applicable law evolve. Material changes are communicated via email or WhatsApp to active members. The “Last updated” date above always reflects the current version.
